  • Who is Staff Planner for?

  • Staff Planner is designed to enable department management or human resource staff, and optionally department staff to have quick access to their time booking information. Hence holida
  • ys, vacation, sick leave or client-based bookings are quickly to hand.
  • It is also of use to small businesses to enable them to track their staff time and other bookings.
  • As you can set up planning codes as you wish, it can be used for every conceivable time based booking, as long as the smallest unit of time required is half a day. Bookings can be made from 1 January 2001 to 31 December 2023.
  • Who would normally maintain the data in Staff Planner?

  • That is up to your organization's policy, but Staff Planner is designed to be maintained and updated by a nominated person within the department.
  • Why does the application use Excel?

  • All applications make use of some form of database system. Staff Planner uses excel because:
    • You already have Excel installed on your PCs, and you are used to it.
    • It does not usually require your IT department to install a new application on each machine that will use it, even when the core data is centrally accessed on a network.
    • Most application have many supporting files and registry settings, so making copies is a cumbersome process. As Staff Planner has only two excel files and a help file, it is easy to make copies and replicate the application.
    • Excel has built in spreadsheet, display and chart functionality, so copies of reports you make can be manipulated by yourselves easily.
    • Staff Planner does not require large database capability.
    • As long as you adhere to Staff Planner's name protocols, you can call the Excel files what ever you want.
  • Can Staff Planner be networked?

  • Yes - Staff Planner is designed for use on a network, so that all users can access the same data file. As only the first person to log in as administrator has read-write access (i.e. can make and save changes), Excel effectively makes read-only copies for all other users at the time they log in.
  • Can Staff Planner be copied and used by others?

  • Yes, providing you comply with your license agreement. The easiest way to make a copy is to use the Save as... function in Administration on the Staff Planner toolbar. As long as you adhere to Staff Planner's name protocols, you can call the Excel files what ever you want.
  • Is it possible to get updates?

  • Yes. Staff Planner 2006 has an import facility allowing it to be able to import the data from other Staff Planners. When you obtain the upgrade, simply import your old data into the new version.
  • What are the system requirements?

  • Windows® 98, Windows NT, Windows ME™, Windows 2000, Microsoft® XP.
  • 200 MHz (recommended) processor or faster Pentium or equivalent.
  • Minimum 3 MB Ram disk space.
  • Excel 97™ or later on each PC that it is intended to run Staff Planner.
  • I have Excel 2000/Excel 2002/Excel 2003. Do I need to be concerned about Microsoft's security level settings?

  • This application has not been digitally signed. In MS Excel™ 2000 and later versions, there are three levels of security that can be set - High, Medium and Low. When the security level is set to High, Excel will not open any file that contains macros (i.e. programs) that has not been digitally signed.

    To run this application in Excel 2000 or later, the Microsoft Excel security level needs to be set at 'Medium' or 'Low'

    The security levels can be found in the Excel Menu toolbar under Tools - Macros - Security. If your organisation's policy forbids this action, if you are unable to change the security levels or are unsure, then you should contact the relevant authority within your organisation. If the security level is set at High, a warning is given and the program will not work.

  • Do I need to setup and use all the functions in Staff Planner?

  • No. The minimum you need to do is add one staff name.
  • Overtime, staff cover, departments, job titles, statutory holidays, passwords and prior year entries are all optional. Minimum setup requirements are detailed fully in the Staff Planner Help user manual.
